COVID Safe Conference

We are working to make EN2022 a covid safe event. The venue the Brisbane Convention and Exhibition Centre (BCEC) are following restrictions of the Queensland government.

“Only fully vaccinated persons, 16 and over or those with an approved medical contraindication (exemption), will be permitted entry to BCEC from December 17, in accordance with Queensland Health and Social Measures linked to vaccination status Direction issued on December 7.

It is a mandatory requirement that proof of vaccination or medical contraindication is provided prior to entering the venue (printed or electronic).

For seamless entry to the venue your vaccination certificate can be linked to the Check In Qld app and you will be able to scan using the Queensland Government QR code prior to entering the venue.

Anyone unable to provide proof of vaccination or Medical Exemption will not be permitted to enter the Brisbane Convention & Exhibition Centre.”

BCEC have implemented the following protocols,

  • Common touch points are regularly sanitised by BCEC staff according to the frequency of when the areas are used.
  • Alcohol-based hand sanitiser from sensor operated dispensers and appropriate waste receptacles are placed at entrances and foyers.
  • Prominent signage promoting good hand hygiene is displayed throughout the venue at entry points, public areas, hired event spaces and restrooms.
  • A food safety strategy has been established incorporating risk assessments of high frequency touch points within food and beverage areas that require frequent sanitisation.
  • All food service areas are monitored for hygiene and cleaning by a BCEC staff member trained in food safety.
  • Single use cups, cutlery and plates are offered as an option as well as china, glassware etc.
  • Shared audio visual items such as microphones and lecterns are sanitised once per event / per day with certified cleaning products offering 24 hour surface protection.

The organising committee has the following actions to maximise the safety of all participants.

Registration for fully paid delegates

Prior to the event fully paid delegates will receive an email with a QR code for check in.

On arrival at BCEC fully paid delegates will be required to

  • check into BCEC via the Queensland covid safe check in app.
  • scan their QR code at a kiosk and their badge will be printed
  • receive their badge and attach to a lanyard and
  • pick up their conference satchel which contains the handbook, wrapped disposable masks, some marketing materials and other goodies from sponsors.

Extra hand sanitiser and masks will be available at the registration desk.

Registration for delegates who are not fully paid

Prior to the event delegates who have payment outstanding will receive an email explaining the following check in procedures.

On arrival at the Brisbane Convention and Exhibition Centre (BCEC) delegates who have payment outstanding will e required to

  • check into BCEC via the Queensland covid safe check in app.
  • queue for the registration desk in a socially distanced queue with floor decals
  • settle the payment via credit card
  • receive their badge and lanyard from registration staff
  • attach badge to their lanyard and
  • pick up their conference satchel which contains the handbook, wrapped disposable masks, some marketing materials and other gifts from sponsors.

Extra hand sanitiser and masks will be available at the registration desk.

Conference sessions

  • The program is available on the conference app and also in the handbook which is in the satchel.
  • Seating will be socially distanced in the conference session venues.
  • All Q&As will be collated via our conference app, so the audience do not share / touch a collective microphone.
  • Where possible multiple exit points will be available for participants to enter and leave the rooms.

Speakers

  • Speakers on all panels (plenary and concurrent) will be socially distanced with at least 1.5m between them.
  • Lectern microphones will be sanitised between sessions.
  • Plenary speakers will be fitted with lapel microphones by an AV technician and not share / touch microphones between each other.
  • Concurrent speakers will use goose neck microphones which are fitted to their tables. These do not require touching and will be sanitised between sessions.

Exhibition Hall

  • The exhibition hall is extremely large with more than 4m per person, given our expected attendance numbers.
  • There are four catering stations throughout the exhibition hall to spread the demand for catering.
  • There are three espresso bars with baristas for personalised hot drink orders.
  • There are four drinks stations for self-service tea, coffee and cool drinks.
  • There is one station in the left back corner for all pre-ordered dietary meals.
  • There will be social distancing stickers on the floor for the food and beverage areas.
  • A number of exhibitors are planning to provide hand sanitiser as giveaways.
